Best Practices for Collaborative Editing in BucketZero Workspace (Vault)

When multiple users need to edit the same document in BucketZero, using the web-based editor ensures smooth collaboration without file locking issues. This editor uses Collabora Online, which allows real-time simultaneous editing.

The web-based editor in BucketZero is powered by Collabora Online (similar to Office Online), a real-time collaborative editing platform. This enables multiple users to work in the same document at once without file locks or conflicts. Changes are synchronized instantly, so all edits are visible to collaborators in real time and no one is blocked from making updates.

To avoid locking issues, do not edit shared documents locally using the desktop agent or through synced folders when multiple users need access. Those methods invoke BucketZero’s file locking system and can result in “file locked” messages or overwrite conflicts. For collaborative work, always use the browser-based editor and ensure that each document is edited through a single method only, so you maintain a smooth workflow and protect data integrity.

Why Use the Web-Based Editor

  • Real-time collaboration: Changes appear instantly for all users.
  • No file locks: Multiple users can edit the same document without being blocked.
  • Safe workflow: Reduces risk of overwrites and data conflicts.

What to Avoid

  • Local editing: Do not open documents in desktop applications (e.g., Word), instead use the web based services when collaborating.
  • Synced folder editing: Avoid editing through synced folders, as this triggers the BucketZero file locking system.
  • Multiple editing methods on the same file: Switching between local and web-based editing can cause stale locks or overwrite conflicts.

Quick Workflow Tips

Open documents directly in the browser via BucketZero which will provide the collaborative real time services.  Close documents properly when finished to prevent stale locks.

  • If a document appears locked refresh the page and/or wait for the lock timeout

Summary

For smooth collaboration:

  • Always use the web-based editor with Collabora Online.
  • Never edit the same document locally or via synced folders when multiple people are working on it.
  • Following this approach prevents locked sessions, overwrites, and workflow disruptions.
